About the job
The Coupa Tier 3 Systems Admin is a senior-level individual contributor responsible for advanced technical ownership, solution design, and enterprise enablement of the Coupa platform. The role focuses on Procurement, Sourcing, Contract Lifecycle Management, Supplier Management, and related source-to-pay capabilities. As the Coupa subject matter expert and escalation point, this role handles complex configuration, integration, data, access, and production issues. It is differentiated from Tier 1 and Tier 2 by its focus on engineering-level delivery, non-routine problem-solving, project leadership, platform scalability, and long-term risk reduction. The role also involves collaboration with business stakeholders, leading user acceptance testing, contributing to change management processes, and mentoring Tier 1 and Tier 2 administrators. Additionally, it identifies opportunities to apply AI and automation capabilities to improve Procurement processes and outcomes. ESSENTIAL DUTIES AND RESPONSIBILITIES Primary Responsibilities - Coupa (Required) • Lead advanced configuration and administration across Coupa Procurement, Sourcing, Contract Lifecycle Management, Supplier Management, and related source-to-pay capabilities. • Translate complex business requirements into scalable functional and technical solutions, across all Coupa configuration areas. • Lead configuration workstreams for new implementations, global rollouts, continuous improvement initiatives, and new capability enablement. • Assess cross-module and upstream/downstream impacts before changes are introduced, with particular attention to Procurement, Accounts Payable, Supplier, Contract, and ERP dependencies. • Own complex production issue resolution through root-cause analysis, durable corrective actions, and preventive improvements that reduce recurring risk. • Review Coupa release notes and product roadmap updates, evaluate business impact, and recommend platform improvements and process efficiencies. Technical, Integration & Data Expertise • Maintain deep knowledge of Coupa configuration, data structures, module dependencies, release behavior, and source-to-pay process design. • Design, support, and optimize integrations between Coupa and ERP, middleware, identity, supplier, payment, reporting, and other enterprise platforms using APIs, file-based interfaces, and scheduled data feeds. • Develop and maintain source-to-target mappings, transformation logic, validation rules, error handling, reconciliation processes, and technical support documentation. • Partner with internal IT teams, middleware providers, Coupa Support, and external vendors on solution design, troubleshooting, defect resolution, release coordination, and regression risk management. • Establish and enforce data quality, access, security, and governance controls aligned with enterprise compliance requirements. AI, Automation & Process Improvement • Identify and assess opportunities to use AI, generative AI, automation, and agent-based capabilities to improve Source-to-Pay processes, decision support, user experience, and operational efficiency. • Partner with Procurement stakeholders, cross-functional teams, and AI governance groups to define use cases, requirements, controls, and success measures for AI-enabled capabilities. • Coordinate requirements for Coupa AI capabilities and agent-based solutions, including functionality delivered through Coupa product features or agent-development capabilities. • Apply working knowledge of AI/ML, generative AI, orchestration, prompt design, and responsible AI principles when evaluating or implementing solutions. • Monitor the Coupa roadmap and broader procurement technology market for relevant AI developments, while protecting confidentiality, data integrity, and appropriate human oversight. • Mentor team members and share practical guidance that strengthens understanding of AI concepts and their responsible application in procurement technology. Testing, Release & Platform Reliability • Develop test strategies and lead end-to-end validation, regression testing, user acceptance testing, defect tracking, release readiness, and post-implementation stabilization. • Maintain configuration timelines, decision logs, test evidence, defect matrices, runbooks, and functional and technical documentation. • Coordinate with business and technical stakeholders to confirm production readiness, cutover activities, support coverage, and rollback considerations. • Use reporting and data analysis to assess change impacts, identify trends, support compliance needs, and improve platform reliability. Project & Cross-Functional Leadership • Serve as a lead contributor and Coupa technical subject matter expert on enterprise projects, global initiatives, and Source-to-Pay transformation efforts. • Lead or support requirements gathering, fit-gap analysis, functional and technical design reviews, solution decisions, and stakeholder alignment. • Communicate complex information clearly to business, technical, vendor, and leadership audiences and build consensus across teams. • Provide technical guidance, mentoring, and design review support to Tier 1 and Tier 2 administrators, strengthening overall platform maturity and knowledge depth. Change Management & CAB Responsibilities • Collaborate with project management teams to track changes through tools such as Jira and ServiceNow. • Ensure all changes follow the established change control process, maintaining accurate logs and approvals. • Prepare change management documentation, including change request forms and impact assessments. • Present proposed changes at the Change Advisory Board (CAB) meetings, clearly communicating risks, mitigations, and deployment plans. • Support post-change review and compliance audits, ensuring continuous improvement in change management processes. Additional Responsibilities (Preferred, Not Required) • Working knowledge of SAP Concur or other Financial Systems supporting Travel, Expense, Procurement, Invoicing, or Accounts Payable processes. • Understanding of how Coupa interacts with SAP-based ERP systems, SAP Concur, middleware, identity platforms, and enterprise reporting solutions. • Ability to support cross-platform impact analysis and integrated procure-to-pay and travel-and-expense process design. Tier 3 Role Scope & Accountability • Manage Coupa as an enterprise platform with accountability for advanced technical enablement, scalability, reliability, and risk reduction. • Operate independently with minimal guidance, lead significant project activities, and solve complex problems using multiple sources of information and system dependencies. • Act as the escalation point for complex production issues, architecture and configuration decisions, integration impacts, vendor technical engagement, and release risk. • Serve as a resource and advisor to colleagues while driving alignment on configuration standards, documentation, governance, and long-term platform health. OTHER DUTIES Additional duties as directed by management, aligned with Tier 3 technical enablement, system ownership, responsible innovation, and enterprise scalability objectives.
