Role Overview

As an Executive Business Partner within Vanguard India, you will provide high-impact support to the India Site Head and partner closely with senior leaders across the organisation. You will play a critical role in ensuring executive priorities are effectively managed and strategic initiatives are successfully coordinated and executed.

The role requires balancing executive operations, business planning activities, leadership communications, project coordination, and site engagement initiatives. You will serve as a central point of coordination across leaders, teams, and stakeholders, ensuring alignment, visibility, and execution against key business objectives.

Core Responsibilities

Executive Leadership Support

Partner closely with the India Site Head to proactively manage priorities, commitments, and strategic objectives.

Maintain and optimise complex executive calendars, ensuring effective time management and prioritisation.

Coordinate leadership meetings, business reviews, town halls, and executive forums.

Prepare briefing materials, presentations, action trackers, and leadership communications.

Handle confidential information with a high degree of discretion, professionalism, and sound judgement.

Strategic Business Operations

Support the planning, coordination, and execution of strategic initiatives and cross-functional projects.

Track action items, decisions, deliverables, and milestones arising from leadership meetings.

Monitor project timelines, dependencies, risks, and status updates to support visibility and accountability.

Coordinate leadership reporting and maintain executive dashboards for key business priorities.

Assist in developing streamlined processes and operating mechanisms that improve organisational effectiveness.

Stakeholder Engagement & Communication

Act as a strategic liaison between India and US leadership teams, supporting effective collaboration and communication.

Build strong relationships with business leaders, functional partners, and external stakeholders.

Facilitate information flow across teams to ensure alignment and timely execution of priorities.

Support preparation and distribution of leadership communications and organisational announcements.

Site Operations & Employee Experience

Coordinate leadership visits, executive travel, and visitor engagement programmes.

Support site-wide events, engagement initiatives, leadership forums, and organisational activities.

Partner with workplace, facilities, HR, and business teams to ensure a positive employee and visitor experience.

Assist with planning and execution of site operational initiatives and culture-building programmes.

Operational & Administrative Excellence

Coordinate domestic and international travel arrangements, itineraries, and logistics.

Manage expense reporting, invoice processing, vendor coordination, and purchase order administration.

Support budget tracking and operational reporting activities as required.

Drive process improvements that enhance efficiency, effectiveness, and service delivery.

Required Qualifications

Bachelor's degree in Business Administration, Commerce, Management, Communications, or a related discipline.

3+ years of experience supporting senior executives, business leaders, or leadership teams within multinational organisations.

Experience managing complex executive calendars, travel coordination, stakeholder communication, and strategic projects.

Experience working in global, matrixed environments with geographically distributed teams.

Professional Competencies

Exceptional organisational and planning skills.

Strong written, verbal, and presentation communication skills.

Ability to manage multiple priorities with high attention to detail.

Strong judgement, discretion, and professionalism when handling sensitive information.

Ability to influence outcomes and build relationships across all organisational levels.

Preferred Qualifications

Experience within financial services, technology, consulting, or global capability centres.

Exposure to programme coordination, project management, or business operations.

Experience supporting Site Heads, Country Heads, Managing Directors, or senior leadership teams.

Knowledge of project management methodologies and governance practices.

Professional certifications in Project Management, Business Administration, or Operations Management are advantageous.
