ROLE CONTEXT & PURPOSE

The Export Operations Coordinator will own the operational execution of confirmed export orders , creating a reliable handoff from sales conversion to physical dispatch and export-document closure.

The role will coordinate the Order-to-Dispatch and Documentation stages, while maintaining order trackers, customer updates, internal follow-up and shipment files. The objective is to reduce post-order delays, eliminate ownership gaps and create a predictable execution process.

The role is coordination & execution focused and requires strong stakeholder management.

KEY RESPONSIBILITIES

Sales Order Coordination: Coordinate confirmed export orders from order confirmation to sales-order creation, ensuring all required information is complete and the order is ready for execution.

Order Readiness: Coordinate with internal teams to ensure product availability, order readiness and timely movement of orders towards dispatch, while keeping customers updated on any delays or changes.

Export Documentation & Shipment Closure: Coordinate export documentation and shipment-related activities, ensuring all required documents are complete, accurate and properly maintained until the order is fully closed.

Payment & Commercial Coordination Support: Support payment confirmation, commercial follow-ups and related order-level coordination with the Export Team Lead and Finance team.

Stakeholder Management: Work closely with Internal (Sales, Warehouse, Purchase, Finance, Logistics) and external (freight forwarders, agents, and other partners) teams to ensure smooth execution of export orders and timely resolution of issues.

Reporting & Process Tracking: Maintain order and shipment trackers, share weekly status updates, and flag recurring delays with practical fixes

REQUIRED SKILLS & COMPETENCIES

Export operations / order management: Working knowledge of order execution, dispatch coordination and export documentation.

Strong stakeholder management and cross-team follow-up skills.

Attention to detail: Ability to validate customer, product, quantity, value, HS code and shipment-document details accurately.

Understanding of export documents , familiarity with export documents, Incoterms and an ERP such as SAP.

Microsoft Excel skills for trackers, ageing reports and SAP

Fluent written and spoken English; confident writing to overseas customers.

EDUCATIONAL BACKGROUND

Qualification Preference

Graduate degree in Commerce / Supply Chain / International Business / any relevant discipline Preferred

B.Com / BBA / BBM / related qualification Preferred

EXPERIENCE PROFILE

The ideal candidate has 1 to 4 years of experience in one or more of the following:

Export operations, international order management or export documentation.

B2B order processing, dispatch coordination or supply-chain coordination.

Industrial / electrical distribution, manufacturing, EPC or trading environments with export exposure.

Roles requiring frequent coordination across Sales, Warehouse, Finance, Logistics and other internal teams.
