This person will help in development of innovative, accurate, timely, and high-quality products and services, typically working on multiple projects with all levels of staff. Key Responsibilities:

Project Setup & Documentation

Maintain suspense trackers, utilization trackers, proposal trackers, and pipeline records (win/loss, Dynamics ID).

Project Execution & Deliverables

Oversee development and management of deliverable templates.

Coordinate project data access and downloads.

Manage team SharePoint resources, including project folders and shared tools.

Financial & Billing Coordination

Oversee portfolio-level billing tracking spreadsheets and liaise with billing teams to identify outstanding amounts.

Verify project closeout activities, including archiving final reports, certificates, and billing records.

Operations & Reporting

Generate and analyze Cognos reports (TOPSR, Project Status Report, Labor, Expenses, Contract Modification etc).

Maintain proposal and pipeline trackers (status-Win/Loss, Dynamics ID).

Oversee planner tasks including proposals, contract execution, amendments, additional funding, charge code setup, and IWO setup.

Coordinate with Finance, Project Accounting and Contracts teams to ensure compliance and efficiency.

Maintain new project setup, Internal work order, utilization and suspense hours trackers.

Maintain revenue trackers, bookings, outstanding codes, unbilled/unpaid invoices, etc.

Identify and report revenue at risk.

Compile PM and client-wise data.

Prepare forecasts vs. actuals, P&L reports, and EDI meeting presentations.

Oversee project closure activities, including booking costs and clearing account receivable.

Basic Qualifications:

Bachelor’s Degree with 5 years of administrative experience

Demonstrated organizational skills

Ability to communicate and multi-task effectively

Handle sensitive information in a confidential manner

Self-initiative and follow through to complete tasks with minimal supervision

Familiarity with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook)

Preferred Skills/Experience:

Administrative experience in a technical / engineering environment

Writing or editing experience in a work or educational environment

Familiarity with Microsoft SharePoint, Power BI, COGNOS

Professional Skills:

Operational Excellence: Strong reporting, data management, and process improvement capabilities.

Collaboration: Works seamlessly with SMEs, PMs, and cross-functional teams.

Problem-Solving: Proactive in identifying risks, securing solutions, and ensuring project success.
