Data Quality & Admin Support Executive

Role overview & Key responsibilities: We are looking for a detail-oriented and analytical individual to ensure data accuracy and quality in PadCareOne, our internal business management portal. The role involves verifying customer, site, Sales Order (SO), Purchase Order (PO), Agreement and onboarding information; investigating missing or conflicting details; tracing information across available records; and coordinating corrections through to closure. We are looking for someone who can investigate and resolve data issues, not just check documents or enter data. Key Responsibilities A. Data Verification & Reconciliation ● Verify PadCareOne records against POs, Agreements, GST Certificates, emails and other supporting documents. ● Validate customer details, GSTIN, addresses, products, quantities, pricing, service frequency, order periods and applicable PO values. ● Identify missing, incorrect, duplicate or inconsistent information across records. B. Investigation & Information Tracing ● Investigate whether missing information is available in PadCareOne, Zoho, email threads, shared folders, attachments or historical records. ● Trace relevant information using customer names, GSTINs, PO/SO numbers and other identifiers. ● Assess whether available evidence is sufficient and reliable to validate the information. ● Identify the exact information gap and determine what additional proof, clarification or approval is required. C. Stakeholder Coordination & Resolution ● Identify the right person or team to contact when information is unavailable or conflicting. ● Coordinate with Sales, KAMs, Finance, Operations, Admin and Technology teams to obtain missing details and resolve discrepancies. ● Follow up on pending cases and ensure issues are resolved within agreed timelines. ● Re-verify corrected records before closing cases. D. Admin Requests & Change Control ● Review Admin requests and validate the requirement, supporting evidence and applicable approvals. ● Execute authorized changes or coordinate with the relevant system owner. ● Maintain a change log covering the request, reason, evidence, approval, action and closure. ● Escalate unclear or unsupported requests instead of making assumptions. E. MIS & Process Improvement ● Maintain trackers for verification, discrepancies, pending cases, data changes and closure status. ● Identify recurring errors and gaps in documentation or processes. ● Suggest improvements to data quality, verification practices and information availability. Requirements What we're looking for: Graduate in any relevant discipline; B.Com, BBA or B.Sc. preferred. 0–1 year of experience; freshers with strong analytical ability may apply. Experience in data verification, documentation, master data, order processing or back-office operations is an advantage. Prior GST, ERP/CRM or business portal knowledge is not mandatory. Strong attention to detail and accuracy Analytical thinking and a systematic approach to investigation. Ability to search across multiple sources and trace information. Logical reasoning to distinguish verified facts from assumptions. Ownership and follow-through until case closure. Good communication and stakeholder coordination skills. Basic to good Excel/Google Sheets skills. Comfort with web-based portals and willingness to learn new systems.
