Primary Responsibilities
Vendor Onboarding and Due Diligence
•Manage new vendor onboarding from initial request through approval, including supplier registration, document exchange, internal coordination, and completion of required procurement workflows.
•Ensure vendors satisfy company requirements for information security, privacy, legal, financial, insurance, compliance, business continuity, and operational readiness before services are approved or implemented.
•Coordinate the collection and review of contracts, statements of work, certificates of insurance, security questionnaires, compliance attestations, financial information, data-processing terms, and other required documentation.
•Maintain accurate vendor profiles, ownership records, risk classifications, documentation, approval status, and renewal dates in applicable procurement and contract-management systems.
Vendor Evaluation and Selection
•Coordinate vendor evaluations for data center hardware, infrastructure platforms, cloud services, cybersecurity solutions, software, telecommunications, support services, and managed service providers.
•Develop and apply consistent evaluation criteria covering technical fit, security, compliance, financial stability, service capability, implementation risk, support model, scalability, and total cost of ownership.
•Support requests for information, requests for proposal, demonstrations, proofs of concept, reference checks, and commercial evaluations.
•Prepare comparative analyses and recommendations that clearly document vendor strengths, weaknesses, risks, costs, and alignment with business and technology requirements.
Contract Review, Renewal, and Commercial Analysis
•Manage the vendor renewal calendar and begin renewal planning early enough to support requirements validation, competitive review, budgeting, negotiation, approval, and service continuity.
•Review contracts, statements of work, order forms, pricing schedules, service-level agreements, licensing terms, support provisions, renewal clauses, termination rights, and commercial commitments in coordination with Procurement and Legal.
•Compare renewal proposals against prior-year agreements, historical spend, consumption, market benchmarks, alternative vendors, and changes in scope or service levels.
•Identify unfavorable pricing changes, redundant services, unused licenses, minimum commitments, auto-renewal risk, and contractual terms requiring clarification or negotiation.
•Prepare concise renewal recommendations, financial impact summaries, negotiation positions, and approval materials for operational and executive stakeholders.
Vendor Relationship and Performance Management
•Build and maintain effective vendor relationships throughout onboarding, implementation, steady-state operations, renewal, escalation, and offboarding.
•Plan and lead vendor meetings, operational reviews, service reviews, quarterly business reviews, renewal discussions, and executive-level engagements.
•Establish agendas, document decisions and action items, assign owners, track commitments, and follow issues through resolution.
•Maintain vendor scorecards and monitor service-level performance, delivery quality, responsiveness, support effectiveness, risk, and contractual compliance.
•Coordinate escalations for service failures, unresolved incidents, delayed deliverables, commercial disputes, and other matters that could affect availability, security, cost, or business operations.
FinOps and Financial Optimization
•Partner with Finance, FinOps, Procurement, and technology owners to improve the financial management of vendor relationships and technology services.
•Analyze spend, usage, support coverage, license allocation, maintenance costs, commercial commitments, and pricing trends to identify savings and cost-avoidance opportunities.
•Support budgeting, forecasting, accruals, purchase-order planning, and variance analysis for assigned technology vendors and contracts.
•Develop total cost of ownership, return on investment, unit-cost, and multi-year financial analyses for vendor selections, renewals, migrations, and modernization initiatives.
•Recommend opportunities to right-size services, consolidate suppliers, eliminate duplication, optimize licensing, renegotiate commitments, improve discount structures, and align cost with actual consumption and business value.
Governance, Reporting, and Cross-Functional Coordination
•Serve as a central point of coordination among vendors and internal technical, procurement, finance, legal, security, compliance, and business teams.
•Maintain contract repositories, vendor records, renewal schedules, performance reports, meeting documentation, risk items, and decision history.
•Develop dashboards and reporting for vendor spend, savings, renewals, performance, risk, contract status, and action-item completion.
•Support audits, third-party risk assessments, compliance reviews, strategic sourcing initiatives, infrastructure modernization programs, and vendor offboarding activities.
•Participate in local and global cross-functional teams and perform related procurement, vendor management, contract administration, and financial-analysis activities as assigned
Required Qualifications
•Bachelor's degree in business administration, finance, supply chain management, information technology, economics, or a related field, or equivalent practical experience.
•4+ years of experience in vendor management, vendor procurement, supplier management, contract administration, technology operations, strategic sourcing, or a related discipline.
•Experience managing vendors that provide data center infrastructure, cloud services, cybersecurity products, enterprise software, telecommunications, hardware maintenance, professional services, or managed services.
•Demonstrated experience with vendor onboarding, due diligence, document exchange, supplier approvals, contract renewals, and ongoing relationship management.
•Ability to review commercial contracts, licensing structures, statements of work, service-level commitments, pricing schedules, renewal provisions, and vendor proposals.
•Experience comparing vendor proposals and renewal pricing against prior-year agreements, historical utilization, existing contracts, market alternatives, and business requirements.
•Strong financial and analytical skills, including spend analysis, budgeting, forecasting, variance analysis, total cost of ownership, return on investment, and cost-optimization assessments.
•Ability to organize and lead vendor meetings involving technical teams, business owners, procurement, finance, legal, and vendor executives.
•Excellent communication, negotiation, stakeholder-management, organizational, and documentation skills.
•Ability to manage multiple vendor engagements, deadlines, approvals, renewals, and escalations while maintaining confidentiality and attention to detail.
•Advanced proficiency with spreadsheets, presentations, reporting tools, databases, and procurement or contract-management systems.
